FAQ

Frequently Asked Questions

How do I place an inquiry, and what should I specify?

Send us your variety list through the inquiry form or by email. The first thing to make clear is the product form you need: the raw herb (agricultural grade) or finished decoction pieces — the applicable standards, processing, testing and documents differ between the two. Then state, for each variety, the specification and quantity you have in mind, your destination, and any documents your market requires. We work through variety, grade, specification, documents and price item by item against actual availability, and orders and sample arrangements are confirmed from there.

Can I get samples before ordering?

Yes. Samples are arranged by variety once your inquiry is confirmed, so that you can check the actual goods — form, specification and batch documents — before committing to an order. Small trial samples are provided free of charge; the buyer covers the international courier cost. Where a larger sample quantity is needed, the sample is charged at the quoted price for that variety.

What is the minimum order quantity?

It depends on the product line, by variety. Decoction pieces start from 1 kg per variety; food-as-medicine ingredients start from 20 kg per variety. A single order can combine many varieties — Nanxing carries more than 700 specifications and delivers them as one complete order, so a multi-variety purchasing list does not need to be split across suppliers. Exact quantities are confirmed at inquiry against actual availability.

How are prices quoted, and how long is a quotation valid?

Prices are quoted variety by variety, based on the grade, specification and batch actually available at the time of inquiry — materia medica prices move with harvest seasons and the market, so we quote against real supply rather than a fixed list. A quotation is valid for 7 days from the date it is issued; after that, price and availability are reconfirmed before an order is placed.

What payment terms do you accept?

We settle by TT (telegraphic transfer) or LC (letter of credit). For new buyers, TT orders are normally part-paid as a deposit with the order, with the balance settled before dispatch; the exact arrangement depends on the order, and is stated in the quotation and confirmed with the order. Larger orders can be settled by LC at sight.

What is the lead time from order to shipment?

For varieties in stock, goods are prepared and dispatched within about 5 working days after payment is confirmed. Nanxing buys against orders and organises supply order by order, so varieties that need to be sourced for your order usually take 10–15 working days. The schedule for your specific variety list is confirmed with the quotation, and dispatch only happens after a final recheck of name, specification, quantity and batch.

What documents are supplied with the goods?

Each shipment is accompanied by the quality documents corresponding to the actual batch supplied — the batch is the authority. Depending on the product category and your market's requirements, export documents can be prepared accordingly, for example batch test reports, product specifications, and origin or traceability records. Tell us in your inquiry which documents your customs and regulators require, and we will confirm document by document what can be provided for each variety. Documents for a specific batch can also be reviewed before the order is confirmed.

How are the goods packed?

Decoction pieces are packed by form — slices, segments, shreds, chunks and powders — in sealed bags of 1 kg, shipped in cartons of 20 kg. Food-as-medicine ingredients are packed to food-grade standards in foil bags of 5 kg, in cartons of 10 kg or 20 kg. Cartons carry variety and specification labels. Shelf life is 12+ months for decoction pieces and 24 months for food-as-medicine ingredients, stored sealed, cool and dry. Exact specifications are confirmed at inquiry.

Which ports do you ship from, and by what methods?

Export shipments usually leave from ports in Zhejiang or Shanghai, such as Ningbo. Bulk orders go by sea freight; trade terms (FOB, CIF or EXW) are agreed per order. Samples and small urgent parcels go by international courier. Freight cost and timing for your destination are worked out with the quotation.

What if the goods do not match what was confirmed?

Every batch we receive is inspected before it enters stock — name, specification, batch number, origin and quantity are checked, and batches that fail inspection are not admitted — and every shipment is rechecked at dispatch against the confirmed order, so the goods, the batch and the documents correspond. If, on arrival, the goods do not match the confirmed specification or the batch documents, contact us within 14 days of receipt with the batch details and photos, and we will work out a remedy for the affected batch — replacement, a make-up in the next order, or a refund — case by case.

Can specifications or packaging be customised?

Within limits, yes. Decoction pieces can be supplied in slices, segments, shreds, chunks or powder, and packaging can be adjusted on request — decoction-grade packaging is carried out by the supplying decoction factory, and agricultural-grade goods ship in Nanxing packaging. Custom cutting, grading or packaging requirements are assessed variety by variety and confirmed at inquiry before an order is placed.
